1A. APPLICATION AND ACCEPTANCE OF TERMS
1A.1 All exhibitors must complete the official Experience Africa 2026 Online Application Form.
1A.2 By submitting the Application Form, the Exhibitor confirms that they have read, understood, and agree to be bound by these Terms & Conditions.
1A.3 Submission of the Application Form does not constitute acceptance by EAE. A binding agreement will only come into effect once the Exhibitor’s application has been formally approved in writing by EAE.
1A.4 Upon approval, the Exhibitor will receive written confirmation together with a copy of these Terms & Conditions for their records.
1A.5 EAE reserves the right to decline any application at its sole discretion without obligation to provide reasons.
In this Agreement, the following terms shall have the meanings set out below:
“EAE” means Experience Africa Events Ltd, the organiser of the Event.
“Event” means Experience Africa 2026, taking place on the Event Date(s) at the Event Venue specified in the Schedule.
“Event Date(s)” means Monday 22 – Wednesday 24 June 2026.
“Event Venue” means Convene, 155 Bishopsgate, London and external venue(s) used for social networking events, including the ATTA® Sumer Party.
“Exhibitor Fee” means the total fee payable by the Exhibitor as set out in the Schedule.
“Exhibitor Package” means the services and entitlements provided to the Exhibitor by EAE, as set out in the Schedule.
“Buyer” means a qualified trade professional accepted by EAE to attend Experience Africa for pre-scheduled appointments.
“Force Majeure Event” means any event beyond the reasonable control of either party, including but not limited to war, act of terrorism, civil commotion, epidemic, pandemic, government restriction, strike, lockout, fire, flood, or natural disaster.
“Intellectual Property Rights” include all patents, trademarks, copyrights, trade names, design rights, domain names, and any other proprietary rights.
Headings are for convenience only and shall not affect interpretation.
2.1 EAE shall organise the Event on the Event Date(s) and at the Event Venue, or such other date(s) or venue as it may reasonably determine in the event of circumstances beyond its control.
2.2 EAE shall manage and operate the Event, providing the Exhibitor with the agreed Exhibitor Package.
2.3 The Exhibitor Package includes up to 42 pre-scheduled appointments arranged through the meeting matching system, subject to the Exhibitor completing buyer preferencing within stated deadlines. EAE is not responsible for buyer no-shows but will use reasonable endeavours to replace cancellations where possible.
3.1 The Exhibitor shall pay the Exhibitor Fee within 28 days of invoice. Early booking discounts will be revoked if payment is not received by the due date.
3.2 For shared (split) packages, all co-exhibitors shall be jointly and severally liable for all fees.
3.3 Exhibitors must supply logos, artwork, and materials by the stated deadlines.
3.4 Exhibitors must maintain valid insurance covering property, personnel, and third-party liability for the duration of the Event.
3.5 Exhibitors must comply with all venue rules, local laws, and EAE’s Code of Conduct.
3.6 Exhibitors must ensure delegates behave professionally and refrain from actions that may bring EAE or ATTA® into disrepute.
4.1 This Agreement commences on the date the Exhibitor application is accepted by EAE and continues until completion of obligations.
4.2 EAE may cancel or postpone the Event for any reason, including a Force Majeure Event. In such cases, Exhibitors will be offered a deferral to the next edition or a partial refund, at EAE’s discretion.
4.3 Exhibitors cancelling participation more than 90 days before the Event will be charged 50% of the total fee. Cancellations within 90 days incur 100% liability.
4.4 Exhibitors unable to attend due to travel bans or visa issues shall not be entitled to a refund but may be deferred to the following edition at EAE’s discretion.
4.5 EAE’s total liability shall not exceed the amount of the Exhibitor Fee actually received.
5.1 All Intellectual Property relating to the Event, including the Experience Africa brand, remains the property of EAE.
5.2 Exhibitors grant EAE a royalty-free licence to use their logos and trademarks for event promotion.
5.3 EAE grants Exhibitors a limited licence to use the Event name (including the year) solely for promotional purposes related to their participation.
EAE processes personal data in accordance with the UK GDPR and Data Protection Act 2018. Exhibitor data will be used solely for the administration of the Event and related communications. Personal data may be shared with approved suppliers and buyers under strict data-processing agreements. Data will be retained for no longer than five years.

7.1 EAE shall not be liable for loss of profits, revenue, goodwill, or any indirect or consequential losses.
7.2 Nothing in this Agreement limits liability for death or personal injury caused by negligence.
7.3 Each Exhibitor shall indemnify EAE against any claims, damages, or expenses arising from its participation, including damage to venue property.
This Agreement is governed by the laws of England and Wales. The courts of London shall have exclusive jurisdiction.

VAT at 20% will be charged to organisations domiciled in the UK.
